The Contracts Administrator will be responsible for overseeing the contractual administration of specific contracts.

  1. Checking and reporting on designer, contractor and associated parties’ compliance with the contract and progress of works. Coordination with site team to ascertain contractual and practical measures to ensure compliance with requirements. Advice on specific requirements of the contract and performance in accordance therewith.

  2. Assessing contractual implications of site decisions and optimization of practical contract conditions.

  3. Maintaining a working relationship with design, construction, engineering, procurement and legal management to facilitate organizational interfaces

  4. Supervision of site measurement team, management of monthly valuations.

  5. Agreeing on valuations and methods of reimbursement with client and CMA representatives. Setting up and managing site valuation procedures. Liaison and coordination of agreement on valuations with contractors.

  6. Managing directives and variations, reviewing client requirements, assessing implications, negotiation of omissions or extra costs, coordination and reporting on the contractual implications of other parties engaged with the works.

  7. Final accounts management including preparation, submission and agreement with client/consultant and similarly with the respective subcontractors.

  8. Monitoring progress of design information and the dissemination at site, client, and consultant levels.

  9. Organization of an approval programming system, regular review of distribution and assessing delay implications of late approvals.

  10. Compilation and scrutinization of design deliverables to ensure conformance, accuracy and completeness of information. Review of bills of quantities to assure an accurate reflection of the work.

  11. Preparation and production of pre-qualification documentation, requests for proposal documentation and contract documents for design and construction agreements.

  12. Assistance in negotiation and clarification of terms to prospective bidders, issuance of change bulletins during the tendering process, incorporation of amendments into final contract documentation, finalization of award and letting of contracts.

  13. Claims management, advising on all aspects of contractual claims. Responsible for the development and management of procedures to recognize and identify claims as they evolve, managing timely resolution under the changes provisions where possible, obtaining legal expertise as appropriate.

  14. Avoidance of subcontract claims, assessment of variations in lieu of claims. Recording pertinent events, ensuring proper submission in accordance with the contract. Advising on the imposition of liquidated damages where applicable, discerning divisions of responsibility between the various parties.

  15. Claims evaluation including compilation of effective contemporary records, preparation of submissions for mediation and/or arbitration on contractual matters.

  16. Presentation of documentation to company lawyers and ADAC for extra-contractual matters.

  17. Provide program and contracts management with reviews / analyses on the contract data

Qualifications

  • A Bachelor’s degree (or similar equivalent) from an accredited college or university is required.

  • A QS accredited qualification (preferably RICS or equivalent) is preferred.

  • Five years in contracts administration level positions supporting large technical programs or construction projects.

  • Overseas experience preferred.

Additional requirements:

  • Effective oral and written communicative skills.

  • Ability to manage large, diversified activities with multiple and competing requirements.

  • Ability to set priorities and manage activities to successful completion.

  • Knowledge of the aviation design and construction industry.
